Creating A Concert Through Connectivity

As organizers sit down to plan a major ticketed event, they face a wide array of decisions involving entry systems, concessions, merchandise and the technical coordination of the performance. While these separate details need to be coordinated, the common denominator in modern event planning across all these decisions is technology.

As someone who works with setting up 5G and network connectivity for large venues, I am familiar with the many aspects that come together to create such a memorable experience.

A Typical Experience

Say I’m a Taylor Swift fan, and I attend her most recent concert. Every aspect of the experience would be facilitated through technology.

The day she announces her tour, I see a subtly targeted Instagram advertisement announcing the tour dates and location for her most recent album, following Easter eggs and television interviews building up fans’ anticipation for the upcoming announcement. This is how we, as modern consumers learn that events are happening around us. A few days later, Spotify will send me an email advertising early access to the tickets due to the significant amount of time I’ve spent listening to her music.

Leading up to the concert, my anticipation builds as I patiently wait for the day to draw nearer. To prepare, I get my ticket added to my Apple wallet, with a backup screenshot, of course, and plan out how to get there, when to arrive, and the other logistics to make it a perfect night.

Entering the event is a technical process; just before heading to the venue, I get an email designating which entrance is right for my type of ticket, made clearer by digital signs directing traffic to the various entrances. As the clock strikes 7 p.m., the line starts moving. As I approach the ticket scanner, I pull up my QR code and make my way through the various security checkpoints. I can buy snacks and merch through Apple Pay and their Square interfaces.

Finally, I sit down to enjoy the show. Surrounded by movie theater-style screens with the performance projected around me, I become immersed in the experience, shining my light to slower songs with the crowd and sharing pictures on social media.

Creating A Seamless Experience

Looking back, it’s obvious the role technology plays in the coordination of these events. It’s essential in creating the ease that consumers feel from the ticket-buying process down to getting an Uber home at the end of the night. We, as decision-makers in the background, have to determine how we enable these systems to take place.

Ensuring a seamless experience for the fans starts with looking at the technical makeup of each component within the event. Keeping point-of-sale applications up-to-date and equipped with the latest innovations like automation smooths out the buying process for both concessions and merch. A similar mentality can be taken with ticket interfaces that are constantly being coded to keep up with increasing demand while also combating previous limitations such as resale ability within the various intricacies of the ticket-buying process.

Outside the individual equipment upgrades, these components also need to be able to connect across a larger system: mobile, Wi-Fi and even private networks.

Systems such as concession, merchandise, and POS systems need to be connected to a dedicated network capable of allowing venue owners to track buyer metrics and analytics. With this access to high-level information such as bank accounts, the server also needs to be secure and backed with security protocols capable of combating cyber threats. This is where Wi-Fi routers and private networks become an essential piece of venue infrastructure—providing a direct link for each technology system to connect to while remaining secure from the run-of-the-mill concert-goer.

High-capacity mobile connectivity, typically 5G these days, is a must to provide the complete event experience for attendees. Boosting mobile performance to meet massive capacity needs from video and social sharing has become an essential step in creating a quality experience that remains invisible to the user’s eye. One way this becomes easier for venues and planners is through the implementation of lens antennas in the mobile infrastructure in venues to boost mobile connectivity directly in the areas and sections where users are concentrated, such as floor seats located next to the stage and in the stadium seating.

Seeing The Big Picture

As business leaders, we see behind the veil of a seemingly perfect event to the nuanced details that went into putting it on. Historically, technology hasn’t been as integral an aspect of the event experience as attendees focus on being present in the moment. As the emphasis on cellular devices in society increased, so did technology’s role in creating an event. However, with this being a newer endeavor within the event space, organizers haven’t yet realized the full benefits technology can provide.

Breaking down the role technology today plays in the individual steps allows us to begin identifying technological advancements that can be made to ensure the smoothest event experience possible.

Innovations like automation and artificial intelligence can be implemented into venues to streamline and uplevel the event process. Imagine an event where you check in using facial recognition software or chatbots that help eliminate language barriers for attendees. Alternatively, virtual reality implementation will open the door to a new kind of event experience. While previously factors such as cost and location would provide roadblocks to interested attendees, virtual reality has the opportunity to even the playing field.

This is the future technology can create for the event planning process. Entering this new era of technologically integrated events starts with learning the benefits it can provide across each step of the event planning process. High-bandwidth network connectivity for people and devices, especially in highly concentrated areas, is just the first step. Determining how it then can be utilized for further implementation and innovation allows us, as future enablers of event experiences, to continue creating what today’s attendees want to experience from an event.
